Background
Cue Media was approached to provide AV support for the annual delegate conference of the Public and Commercial Sector Union (PCS). PCS represents members from many sectors; Police, Aviation, Revenue & Customs, Forestry, Transport, Environment to name a few. We have a working relationship spanning almost 20 years. PCS require a bespoke event solution which provided up to 35 meeting spaces across two conferencing venues in Brighton for group meetings ranging from 30 members to 500 members at the beginning of conference and then a single meeting space for 1,300 members for the main consolidated conference. Cost was important – for PCS every cost is their member’s funds being spent.
Requirements
The main conference has a fixed format which must be carried out to a strict set of instructions – Cue provided a technical platform for this to seamlessly take place. In addition to these conference spaces Cue also provide support for an exhibition space, the exhibition structure and the registration desk.
Delivery
To deliver this event our management team met regularly with client to discuss development of the solution in order to help them to understand what might be possible and what might need to change based on meeting space restrictions. Logistical analysis was the initial approach to determine how much equipment and technical crew would be need to deliver the event given the timescales.
Meetings
Cue put in place a management team to guarantee a high- quality service across all meetings, with clearly defined lines of communication. Every meeting space was visited in advance so that possible seating plans can be drawn up so that we can determine the best use of technology and experience for each meeting. Part of these site visits is to suggest branding, ensuring all meetings had a similar cost effective look and feel which best represented PCS.
The Build
As the Brighton Centre was available for 2 days before the conference it was more cost effective to split the build over 2 days. This allows the rigging, lighting and all of the set to be built on the Friday, with the AV equipment all in place on the Saturday. Set-up continued on the Sunday with a client inspection and sign off of the set-up, followed by technical rehearsals. The conference then ran till lunch on Thursday, followed by a complete breakdown of all of the equipment until 6pm.
